Workflow Permissions in Link Capacity

Workflow is where your team manages their list of tasks. It is the place they will spend most of their time in Link. There are two permission levels to Workflow:

• Manage My Workflow
• Manage Practice Workflow

If the user is granted access to ‘Manage My Workflow’, they are only able to view and edit their own list of tasks. This means they are unable to view the task lists of other team members in the practice. 

If the user is granted access to ‘Manage Practice Workflow’, they will be given access to a selection box which allows them to change the workflow list from themselves, to someone else in the practice, or to view everyone in the practice. Filters can then be applied to to show a specific team. This access is ideal for team leaders and people who run workflow meetings.

When you click into Workflow, the default will show your workflow list for the current month. There are two selection boxes which can used to change the data shown:

• Assigned Month
• Team Member

If the user has permission to ‘Manage Practice Workflow’, they will be able to update the team member to show another team member in the practice, or select ‘entire practice’.

All users will have the ability to change the assigned month, or remove this altogether. The assigned month is the month of the tasks due date. The assigned month is updated to the current month for any overdue tasks so they are not lost in the past. This means any overdue tasks will automatically be rolled into the current month.

For example, if today is the 26th of June 2024, Workflow will default to show ‘June 2024’ as the assigned month. All tasks that have a due date in June 2024 will be shown in this month, along with any tasks that are not completed, and are overdue. So if we have a task that is not completed, and has a due date 31 May 2024, the assigned month will be June 2024 because it is overdue, and therefore will be shown in the June 2024 workflow list. If a task has a due date of 31 July, this will be shown in the ‘July 2024’ workflow list, and therefore not in the June 2024 list.
