When comparing the total hours in a report between Link Reporting and XPM/WorkflowMax you may find variances. If the variance is small, this is likely due to rounding. If the variance is large, it could be due to the fields you have in your report in XPM/WorkflowMax.
Large Variance
When creating reports in XPM/WorkflowMax using the report builder, you must create the reports including both the Time (Totalled) field and the 'Time' field. You then use the 'Time (Totalled)' amount to compare with Link Reporting. This is due to the logic that XPM/WorkflowMax produces the data. If there are two timesheet entries for 1 hour on the same day by the same person, the time field will show 1, and the quantity will show 2.
You may also find discrepancies if you use the Time (Totalled) field and do not include the Time field. We have found this occurs on rare occasions but we have not been able to pinpoint the cause. The only way to ensure correct time data from the report builder is by including both the Time and Time (Totalled) fields on the report, then using the Time (Totalled) field for your reconciliation.
Small Variance
There may be rounding discrepancies between Link and XPM. This is because Link totals the entries exactly as they are shown, whereas XPM sometimes rounds there. WorkflowMax and Xero Practice Manager will round 0.33 + 0.33 + 0.33 to 1.0. Link Reporting does not round this to keep consistency between the User Interface, the PDF's and Excel. You may therefore see minor rounding errors between Link and WorkflowMax/XPM. We have decided not to round this to ensure consistency across all report formats.
